Job Summary : 

Includovate seeks a motivated Business Development Coordinator to assist in proposal coordination, and managing business development opportunities. You will play a key role in ensuring the smooth execution of proposal processes and supporting the BD team. With 4 years of experience in business development or project management, you will be helping Includovate grow by supporting the development and submission of proposals, managing CRM boards and our inbox, and ensuring efficient communication and tasking across the team.  We guarantee interesting work.

Key responsibilities: 

(1) Proposal Coordination 
  • Conduct weekly searches for tenders, RFPs, and other relevant opportunities.
  • Assist with the Go/No-Go assessment process to prioritise proposals in the pipeline.
  • Support the assembly of proposal teams by coordinating with internal stakeholders and reviewing CVs to identify suitable experts for proposals.
  • Monitor proposal deadlines and ensure timely submissions, liaising with the business development team and other departments as needed.
  • Collating client feedback to aid learning. 
(2) Support in Proposal Management 
  • Assist senior BD staff with proposal writing tasks, such as timeline preparation, formatting and basic budget reviews.
  • Help coordinate between the BD team, HR, Finance, and other teams to streamline the proposal process.
  • Ensure all proposal documents are properly stored and managed using the project management platform (e.g., CRM boards).

 (3) Client Communication & Follow-up

  • Communicate regularly with clients and partners to provide updates and follow up on the status of proposals.
  • Coordinate post-submission follow-ups with clients to ensure proposals are reviewed, and feedback is provided. 
 (4) Administrative Support: 
  • Provide administrative support to senior team members, including scheduling meetings, organising documents, and maintaining up-to-date records. 
  • Assist in preparing weekly and monthly reports on BD activities, proposal status, and performance metrics. 
  • Maintain and update the proposal pipeline to track ongoing and upcoming opportunities.
  • Manage the BD inbox.

(5) Team Collaboration

  • Work closely with senior BD staff and other departments to ensure the proposal team is well-coordinated and tasks are completed on time.  
  • Attend and contribute to internal meetings, sharing updates and insights on ongoing BD activities.

Qualifications & Experience:

  • Bachelor’s degree in business management, development studies, economics, sociology, or related fields. 
  • Four years of relevant experience in project coordination and administration with ideally some proposal coordination experience. 
  • Strong organisational, communication, and multitasking skills.
  • Basic knowledge of proposal writing and budget management.
  • Familiarity with CRM systems and project management software is a plus.
  • Fluency in English (bilingual is an advantage).

Other information:

  • Work Location: Remote working with excellent flexibility; you can be based anywhere worldwide.
  • Successful candidates need a computer/ laptop with a high-speed internet connection.
  • Employment Type: This is a 12-month contractual full-time position with a high probability of getting extended based on performance and finances. 
  • Work hours: Flexible working arrangements apply, with some work falling outside core business hours to accommodate time zone differences.
